3. How we collect information

We generally collect personal information directly from you.

This may occur when you:

  • contact us by email or telephone

  • submit an enquiry through our website

  • book or attend a consultation

  • complete an intake, consent or other form

  • participate in a telehealth consultation

  • communicate with us before or after receiving services.

Where appropriate and authorised, we may also receive relevant information from another health professional, support person, support coordinator or organisation involved in your care.

4. Health information

As a dietetic and wellbeing service, we collect health information where it is reasonably necessary to provide services to you.

Health information is sensitive information and is handled with additional care.

Depending on the service you receive, this may include information about your medical history, dietary intake, health goals, medications, allergies, medical conditions and other information relevant to your nutrition care.

We generally collect health information directly from you and with your consent, or where collection is otherwise permitted or required by law.

We use and disclose health information only for purposes permitted by applicable privacy laws, including providing services to you, managing your care, where you have authorised the disclosure, or where disclosure is required or authorised by law.

5. Why we collect and use your information

We may collect, use and hold personal information to:

  • provide dietetic, nutrition and wellbeing services

  • assess your individual nutrition and wellbeing needs

  • maintain appropriate clinical and professional records

  • communicate with you about your appointments and services

  • manage telehealth appointments

  • communicate with other health professionals or organisations involved in your care where authorised or appropriate

  • meet legal, regulatory and professional obligations

  • respond to enquiries and feedback

  • manage complaints

  • maintain and improve our website and services.

We will not use your health information for direct marketing unless you have provided the consent required by law.

6. Telehealth services

Telehealth consultations are managed through Halaxy, our practice management system.

Information required to arrange and provide your telehealth service, including relevant personal and health information, may be collected and stored through Halaxy.

Halaxy states that practitioner data is stored in Australia and that some third-party recipients or integrations may be located overseas.

7. Clinic-based services

We Are Wellbeing Co also provides consultations through external clinic locations.

Where you attend a consultation at a clinic, the clinic may manage appointment administration, billing and payment directly.

The clinic may have its own privacy policy and information-handling practices, which apply to information collected and held by that clinic.

We Are Wellbeing Co remains responsible for the personal and health information that we collect and hold for the purpose of providing our professional services, subject to applicable privacy laws.

Where it is necessary and authorised, information may be shared between We Are Wellbeing Co and the clinic to facilitate your care or administration of your appointment.

8. Website and technology providers

Our website is hosted through Squarespace.

We also use Halaxy for practice management, clinical records, appointment administration and telehealth services.

We may use other technology and communication providers, such as email services, where reasonably necessary to operate our practice.

These providers may collect, store or process information on our behalf.

We take reasonable steps to use service providers that provide appropriate privacy and security protections.

9. Website information and cookies

Our website may use cookies and similar technologies to provide functionality, understand website usage and improve the website.

Squarespace and other website technologies may collect technical information such as your IP address, browser type, device information and information about how you interact with the website.

Third-party services incorporated into our website may also collect information in accordance with their own privacy policies.

You can manage cookies through your browser settings, although disabling certain cookies may affect website functionality.

10. Disclosure of personal information

We may disclose personal information where reasonably necessary to provide our services or operate our practice.

Depending on the circumstances, this may include disclosure to:

  • health professionals involved in your care, where authorised

  • clinics through which services are provided, where necessary and authorised

  • support coordinators or other organisations where you have provided appropriate consent

  • Halaxy and other technology service providers

  • website hosting and communication providers

  • professional advisers where reasonably necessary

  • government agencies, regulators or other bodies where required or authorised by law.

We do not sell your personal information.

11. Overseas disclosure

Some technology and service providers we use may store or process information outside Australia.

For example, Halaxy advises that while practitioner data is stored in Australia, some third-party recipients or integrations may be located overseas. Squarespace also uses service providers and infrastructure that may involve processing outside Australia.

Because the technology providers used by our practice may change over time, the location of overseas recipients may also change.

Where required by law, we take reasonable steps to ensure that personal information disclosed overseas is handled in accordance with applicable privacy requirements.

12. How we protect your information

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.

We use secure practice management and technology systems and limit access to personal information to people who reasonably need it for their role.

No electronic system or method of transmission can be guaranteed to be completely secure.

13. Accessing and correcting your information

You may request access to personal information we hold about you.

You may also ask us to correct information that is inaccurate, incomplete or out of date.

To make a request, please contact:

hello@wearewellbeingco.com

We will respond within a reasonable timeframe and in accordance with applicable privacy laws.

There may be circumstances where access can be refused or limited as permitted by law.

14. Privacy complaints

If you have a concern about how we have handled your personal information, please contact us first so that we can investigate and attempt to resolve the matter.

Email: hello@wearewellbeingco.com

We will review your complaint and respond within a reasonable timeframe.

If you are not satisfied with our response, you may be able to make a complaint to the Office of the Australian Information Commissioner (OAIC) or, where applicable, the relevant NSW privacy regulator.

15. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our services, technology, privacy practices or legal requirements.

The most recent version will be published on our website with the updated date.
